OverviewResponsible for operational performance in a medical
office practice that consists of; 16 providers, at 2 clinic sites,
with budgeted revenues of $3 million or above, that offers a
complex scope of services. Monitors the activities of all office
operating components to ensure the practice meets its objectives.

Hospital Providers and the Director of Operations of Blank

Supervises and coordinates the
activities of all personnel. Organizes and assigns duties to
employees relating to bookkeeping, payroll, collections, medical
records, housekeeping, appointment scheduling, ordering of records,
housekeeping, appointment scheduling, ordering of equipment and
supplies, nursing functions, laboratory, x-ray, after hours
operation, surgical facilities, and all expanded diagnostic and
therapeutic services. Monitors duties assigned to office personnel
to ensure the employees are performing their duties in a manner
designed to maintain a high level of patient care.Maintains a
sufficient flow of work throughout the office by evaluating
production and revising procedures accordingly.Standardizes
procedures and initiates changes where necessary. Constantly
reviews procedures to determine if there is a more efficient and
less costly way to conduct the business without sacrificing quality
patient care. Directs operations to prepare and retain records,
files, and reports according to various governmental and practice
standards. Prepares and implements a records retention and
disposition program for the practice. Ensures compliance with
federal, state and local regulations affecting medical office
practices, i.e. OSHA, A.D.A., CLIA, etc. Interviews, tests, hires,
and terminates employees, and verifies information on employment
application forms. Arranges for background checks on applicants for
employment. Conducts periodic performance and salary
reviews.Schedules and conducts periodic staff meetings with the
employees to inform the staff of changes in the office policy and
to resolve problems that are affecting operating effectiveness.
Prepares and retains minutes of such meetingsPrepares financial and
statistical reports for efficient management of clinic operations.
Works with administration and corporate accounting personnel as
necessary. Reviews all invoices and statements received from
vendors for payment. Checks all invoices for discounts earned.
Approves all invoices for payment. Receives appropriate approvals
prior to ordering major supplies or capital equipment. Secure
competitive bids for supplies and equipment.Review orders for
supplies, equipment, etc., from the various operating sections of
the office. Is responsible for overseeing ordering all supplies,
equipment, etc. Prepares annual clinic budget, utilizing historical
data and projected production data. Continually strives to operate
clinic within or above budgeted targets. Responsible for operation
of all ancillary and diagnostic services provided at clinic, i.e.,
laboratory and insures that these services are being delivered
within guidelines established by appropriate regulatory
agencies.Reviews weekly time records of all office personnel.
Approves all sick and emergency leave in accordance with office
policy. Prepares, maintains, and provides security for the
personnel records of all employees. Retains applications for
applicants for employment. Creates and administers an on-the-job
training program for new employees as required. Attends physician
meetings as directedEnsures that a high level of cleanliness exists
in the office at all times. Takes steps to ensure the physical
plant is in good operating conditionActs as a liaison between
physicians/providers and the Practice Management Committee (PMC) to
achieve effective communication and optimal operational
processes.QualificationsEducation: Bachelor Degree or four (4)
years experience in a related field required. BAA or BHA
preferred.Experience: 4 years of healthcare experience required.
Experience in accounts receivable, to include billing collection,
ICD-9 and CPT coding preferred. Experience in personnel management,
facility management, financial management, budgeting, computers
preferred.License(s)/Certification(s): Valid driver's license when
driving any vehicle for work-related reasons. Certification in
Healthcare management preferred.Knowledge/Skills/Abilities: Writes,
reads, comprehends and speaks fluent English. Multicultural
sensitivity. Microsoft Office - basic computer skills.
Customer/patient focused. Critical thinking skills using
independent judgment in making decisions.
